Then you might be the perfect fit for our part-time (50%) Regulatory Affairs Administrative Assistant (Tender & Complaint Support) role!

 

Hartmann is a leading distributor of healthcare products serving the Netherlands and Benelux region. This position focuses on managing tender documentation, handling complaints, and assisting with regulatory compliance through essential administrative support. It is well suited for candidates seeking a structured, entry- to mid-level role with clear responsibilities and guidance.

 

Your main responsibilities are:

 

    • Ensure accurate management of product documentation, including certificates, technical data sheets, and web content.
    • Handle B2B and B2C quality and safety complaint registration, communication, and follow-up for both business and consumer customers, including complaint analysis.
    • Support regulatory compliance activities such as product recalls and notifications.
    • Answer to regulatory questions of customers and internal team (DoC, CE certificates, ...).
    • Manage tender documentation, coordinate tender calendars, and support related administrative tasks.
    • Update of Benelux SOP's if needed.
    • Technical Data Sheet translation and management

 

Your experience and skills:

 

To make this position a success, we are looking for someone who initially fulfils the function described above, who has interest in the culture of Paul Hartmann and shares its values.

 

In addition, we are looking for these experience and skills:

 

    • Bachelor's degree in a relevant field (e.g., Business Administration, Regulatory Affairs, Marketing) or equivalent practical experience.
    • At least 2 to 3 years of experience in a similar position.
    • Proficiency in Excel and digital data management tools; SAP HANA and PEGA skills are an advantage.
    • Fluent in Dutch, English and French (oral and written).
    • Understanding of regulatory concepts and tender processes (in the Netherlands).
    • Strong organizational skills, attention to detail, and ability to follow instructions closely.
    • Enthusiasm to work in a supportive role, assisting in departmental operations.
    • Cross-functional collaboration with internal teams (e.g. Tender department).
    • Result-driven and customer-focused.
    • Flexible, energetic, and reliable, with a strong sense of initiative.
